How to Collect Money for a Teacher Gift (Letters + Free Tracker)

Quick answer: Send one short, optional note with a suggested amount, one way to pay and a deadline. Then send one reminder and write down every dollar. You don't need an app. An envelope, the payment app parents already use, or cash at pickup all work.
Collecting $10 from 22 families is easy. Collecting it from the last 3 is a second job.
The 5 Things Every Gift Note Needs
Who the gift is for (teacher, aide, or both)
The occasion
A suggested amount, and that any amount is fine
One way to pay
The deadline, plus "this is totally optional"
Do You Need an App to Collect the Money?
No. Payment apps are handy, but a labeled envelope sent home in backpacks, or the payment app most of the class already uses, works fine. What actually matters is writing it down. Use the free Class Gift Money Tracker so you're never doing math at 11:47 p.m.
Letter 1: Holiday Gift
Hi families! We're putting together an optional class holiday gift for [Teacher] [and Aide]. The suggested amount is $[X], but any amount (or none) is great. Send it by [date] in an envelope marked "Holiday Gift" or by [payment method] to [contact]. Every child signs the card either way. Thank you!
Letter 2: Teacher Appreciation Week
Hi families! Teacher Appreciation Week is [dates]. We're collecting for an optional group gift for [Teacher]: [gift idea]. The suggested amount is $[X], and any amount helps. Please send it by [date] using [payment method]. Want to add a note? Send one in by the same date and we'll tuck it in with the gift.
Letter 3: End of Year
Hi families! We made it. To thank [Teacher] for this year, we're collecting for an optional end-of-year gift. The suggested amount is $[X], but give what works for you. The deadline is [date] using [envelope or payment method]. Every child will sign the card, whether or not you chip in.
The Reminder Text (Send Once)
Quick reminder: the class gift for [Teacher] closes [day]! Optional, any amount, [payment method]. Thanks to everyone who already joined. 🎁
One reminder is friendly. Three reminders is a group text intervention.
FAQ
How much should each family give?
Most classes suggest $5–$20 per family. Say "any amount" every time.
How early should I start?
About 3 weeks before the gift day: a week to plan, a week to collect and a week to buy and wrap.
What if someone doesn't pay?
Nothing happens. It's optional, and every child signs the card. No second chase.
What if we collect extra money?
Add a gift card to the gift, or save it for the next class gift and tell families.
Can the PTO use its funds for teacher gifts?
Check your bylaws first. Many PTOs require a separate collection for personal gifts.
