Room mom email templates: 7 emails for the whole school year

What emails does a room mom send? Most room moms send the same handful of emails each year: a welcome letter, party sign-ups, an optional money collection, one reminder before each deadline, a field trip helper ask, thank-yous after events and an end-of-year goodbye. Keep each one short, put the ask in the first line and BCC the class.

You don't need to be a great writer to be a great room mom. You need seven short emails and the nerve to hit send.

Copy one, fill in the [brackets] and send it through whatever channel the teacher uses. Each one fits on a phone screen, because that's where families will read it. Probably in the pickup line.

Five rules for every room mom email

  1. Put the ask in the first line. "Party sign-up is open, closes Friday." Details go underneath.
  2. One topic per email. The party email is about the party.
  3. Use BCC. No reply-all avalanches.
  4. Pick one channel. The one the teacher already uses.
  5. Once a week, tops. Fewer emails get read more.

Welcome email

I'll send updates through [school app or email], once a week at most. Every sign-up is optional, always.

Class party sign-up email

Send it: two to three weeks before the party, once the teacher has okayed the date, time and food rules.

Subject: [Party name] sign-up is open (closes [day])

Hi [class name] families!

Our [party name] is on [day, date] at [time]. Sign up here by [day]: [sign-up link]

Here's what we need:

  • [Main dish] for [number] kids
  • Fruit, a snack and a dessert
  • Drinks for [number] kids
  • Plates, napkins and cups
  • [Number] helpers from [time] to [time]

Please drop food off at [place] by [time]. Our class food rules: [the teacher's food and allergy rules].

Every sign-up is optional. Thank you for making this fun for the kids!

Money collection email (class gift)

Send it: only after the teacher says a collection is okay. One note, one way to give, one closing date. Leave out the suggested amount unless the teacher agreed to one.

We're putting together a class gift for [teacher's name] for [occasion]. If you'd like to chip in, here's how:

  • What it's for: [the gift, in one sentence]
  • Suggested amount: [amount], or whatever works for you

Totally optional, and no need to reply if you're skipping this one. Every child's name goes on the card either way.

Friendly reminder email

Send it: once, to the whole class, a day or two before a sign-up or collection closes. Never just to the families who haven't answered.

Quick reminder: [the party sign-up / the class gift collection] closes [day]. Here's the link: [link]

Thank you to everyone who has already [signed up / chipped in]! If this one isn't for you, no reply needed.

One reminder is plenty. A quiet inbox is an answer. If helpers sign up and don't show, read when classroom volunteers don't show up.

Field trip helpers email

Send it: as soon as the teacher shares the trip date and how many adults they need. Check the school's volunteer rules first. Many schools need a form or background check before the trip.

Hi [class name] families!

Our class is going to [place] on [day, date]. [Teacher's name] needs [number] adult helpers from [time] to [time].

If you can come, please sign up here by [day]: [link]

Send it: in the last week of school, after the last party.

It's been a joy being your room parent. Have a wonderful summer. I'll miss those cute faces!

Room mom email FAQ

How often should a room mom email parents?

Once a week at most, and only when there's something to do or know. Fewer, shorter emails get read. A daily stream gets ignored.

Should room mom emails use BCC?

Yes. Put families in BCC so nobody's email address goes to the whole class and nobody starts a reply-all thread.

How do I remind parents without nagging?

Send one reminder to the whole class a day or two before the deadline. Thank the people who already answered, never name who hasn't, and stop there.
