The party lasts 45 minutes. The group text about it lasts three weeks.
If your Halloween class party is about two weeks out and you just realized nobody has asked about plates, this page is for you. Everything below is free, and most of it lives in one PDF you can print tonight and forward to your co-room parent.
Download the free Halloween Class Party Printables Bundle (14 pages: checklist, parent note, signup sheet and kid activities)

Start here: the checklist
The bundle opens with a one-page Halloween Party Checklist split into four parts:
2 weeks out: get the teacher's yes on the date, the length, costumes and the allergy list. Then post the signup and send the parent note.
1 week out: nudge open slots once, test the craft at home and print the activity pages.
The day before: everything but the food is in, and the party bag is packed with wipes, gloves, serving utensils and two extra trash bags.
Day of: check food labels against the allergy list, then food, craft and game (10 minutes, then stop).
Want the bigger picture first? Our Halloween class party ideas cover the whole afternoon, and the all-season class party checklist works for every party after this one.
The parent note (copy, paste, done)
Page 3 is a fill-in-the-blank note for families. It covers the date and time, a signup ask that says "totally optional" out loud, the class allergy list and the school's costume rules. Type in the blanks or print it. If you'd rather email, here's the wording:
Hi, families of ______'s class! Our Halloween party is on ______ from ______ to ______. We're keeping it simple and fun: a main, fruit, a snack, a dessert, one craft and one game.
How to help (totally optional): If you'd like to pitch in, grab a spot on the signup by ______: [link]. Food, supplies or an extra set of hands in the room all count. If this isn't a good month, no worries at all. Every child gets the same party either way.
Allergies: Our class plans around ______. Please send store-bought, individually wrapped food with the ingredient label on, unless the teacher has said otherwise.
Costumes: Cute, not scary. No masks that cover the face and no toy weapons. Regular clothes underneath and real shoes. Costumes are always optional. A Halloween shirt or headband is perfect too.
Questions? Reach me at ______. Thanks for helping make it fun for the kids!
Need help with the costume part? School Halloween costume rules has the usual list, plus what the room parent actually does on parade day. For the allergy line, see how to build a classroom allergy list and our allergy-friendly class party snacks.
The signup sheet
Page 4 is a Halloween signup with an amount and a drop-off time for every slot: paper goods, one main, fruit (clementine "pumpkins" or prepackaged apple slices), a snack (sealed with label or individual packs OK), a dessert, drinks, craft supplies and two helper spots. Store brand is always OK. Copy the slots into whatever your class uses. If that's SignUpGenius, our SignUpGenius tips for class parties will save you a few rounds of "wait, who's bringing cups?" There's also a filled-in class party signup sheet template if you like to see a finished example.
Kid activities for the quiet table
Every party has an early finisher and a kid who would rather draw than dance. The bundle includes:
Halloween word search for grades K-1, 2-3 and 4-5, with answer keys
Candy corn color by code with a finished color guide
Friendly ghost dot to dot, 1 to 42
A page from our Halloween coloring pages
Teaching the little ones? The Halloween tracing worksheets for preschool are a sweet add-on.
A crayon cup for every 3 or 4 kids is plenty. Bring your own and don't ask the teacher for supplies.
The part no printable fixes
Somebody will want a fog machine. Somebody else will say there's too much sugar. Point at the plan the teacher approved, not at the person. Then look for the kids whose grown-ups couldn't come, open a few juice boxes and take the photo.
If you make it through a room full of pumpkins, kitties and one very determined dinosaur, you survived room parent. Celebrate accordingly.
Survived this one? Wear it proudly.
