Key Takeaways

  • Get the teacher's yes on the date, the length and the name first. Many schools say "winter party" or "holiday party," and a winter theme works for every family.

  • Keep it to one snack, one craft and one game. 45 to 60 minutes is plenty.

  • For 24 kids, plan on 29 servings: the kids, the teacher, an aide and 3 spares.

  • Food rule: store-bought, sealed with label, or individual packs OK. Check the allergy list before anything goes on the table.

  • A cocoa bar only happens with the teacher's OK, and it's served warm, not hot, with lids.

  • The free 14-page kit has the checklist, a fillable parent note, a fillable signup sheet and kid activity pages.

Quick Answers

Quick answers, because the group text already has 47 questions.

How long should a winter class party be?

45 to 60 minutes, and the teacher decides. It's often the last day before winter break. That's enough time for a snack, one craft and one game (10 minutes, then stop). Themes, snacks and game ideas are in our winter holiday class party ideas.

Can we call it a Christmas party at school?

It depends on your school, so ask the teacher or the front office. Many schools use "winter party" or "holiday party." This kit is winter themed (snow, penguins, mittens and cocoa), so it works for every family in the room.

How many servings do I need for 24 kids?

Plan on 29. That's 24 kids, plus the teacher and an aide, plus 3 spares (10%, rounded up). Treat bags and craft kits are just for the kids, so that's 27. The table below has 15, 20 and 30 kids too.

What food is allowed at a winter class party?

Only what the teacher and the school allow, and check the allergy list first. Usually that means store-bought, sealed with label, or individual packs OK. For fruit, clementines or prepackaged apple slices. More ideas: allergy-friendly class party snacks.

Is a hot cocoa bar a good idea for a class party?

Only if the teacher says yes. Use individual store-bought packets, serve it warm, not hot, and use lidded cups. The signup sheet has an optional cocoa bar section you can delete if the answer is no.

What's in the free kit?

14 pages: a party checklist, a fill-in-the-blank parent note, a signup sheet with an optional cocoa bar, word searches for K-1, 2-3 and 4-5 with answer keys, a cozy penguin color by code, a snow buddy dot to dot and a coloring page. Get the free kit.

When should I send the parent note?

Two weeks before the party, with the signup link, after the teacher has said yes to the plan. Nudge the open slots once at one week, and only once. December calendars fill up fast.

How Much Do I Need for a Winter Class Party?

Kids + 2 grown-ups + 10% spares, rounded up. Then buy whole packs. For 24 kids: 24 + teacher + aide = 26; 10% of 26 is 2.6, so 3 spares; 26 + 3 = 29. Treat bags and craft kits are kids-only: 24 + 3 = 27.

Want it on paper? Print the free Class Party Supply Checklist: How Much Do I Need?. It's one page, with a blank column for your class. For the long version, see our class party supply list for 24 kids.

What's on the Winter Party Checklist?

The bundle opens with a one-page Winter Party Checklist split into four parts:

  • 2 weeks out: get the teacher's yes on the date, the length, what the school calls it and the allergy list. Then post the signup and send the parent note.

  • 1 week out: nudge open slots once, pre-cut the paper plate snowman pieces, print the activity pages and get a yes or no on the cocoa bar.

  • The day before: everything but the food is in, and the party bag is packed with wipes, gloves, serving spoons, tablecloths and two extra trash bags.

  • Day of: check food labels against the allergy list, then snack, craft and game (10 minutes, then stop). Hats and mittens go home with the right kid. Mostly.

Want the bigger picture first? Our winter holiday class party ideas cover inclusive themes, snacks, the paper plate snowman craft and winter bingo, and the all-season class party checklist works for every party after this one.

What Should the Winter Party Parent Note Say?

Page 3 is a fill-in-the-blank note for families. It covers the date, time and place, a checkbox for "simple party snack" or "cocoa and snack bar," a signup ask that says "totally optional" out loud, the class allergy list and a few winter notes. Type in the blanks on your phone or print it. If you'd rather email, here's the wording:

Hi, families of ______'s class! Our winter party is on ______ from ______ to ______. We're keeping it simple and fun: one snack, fruit, a drink, one craft and one game. How to help (totally optional): If you'd like to pitch in, grab a spot on the signup by ______: [link]. Food, supplies or an extra set of hands in the room all count. If this isn't a good month, no worries at all. Every child gets the same party either way. Allergies and food: Our class plans around ______. Food rule: store-bought, sealed with label, or individual packs OK, unless the teacher has said otherwise. A few winter notes: Please drop off cold food by ______ (or send it with an ice pack), and put names in hats and mittens. Not every family celebrates the same holidays. Our party is about winter fun, and everyone is welcome. Questions? Reach me at ______.

For the allergy line, see how to build a classroom allergy list. Not sure whether homemade is allowed? Holiday party vs. class party food rules explains why the answer can change from party to party.

What Goes on a Winter Party Signup Sheet?

Page 4 is a winter signup with an amount for every slot: paper goods, one party snack (popcorn "snowballs" or cheese crackers), fruit (clementines or prepackaged apple slices), a second snack (store-bought, sealed with label, or individual packs OK), a dessert, drinks, craft supplies and two helper spots. Store brand is always OK.

If the teacher said yes to cocoa, use the Cocoa bar (optional) rows for packets, marshmallows and an insulated jug with lidded cups. Copy the slots into whatever your class uses. If that's SignUpGenius, our SignUpGenius tips for class parties will save you a few rounds of "wait, who's bringing cups?" There's also a filled-in class party signup sheet template if you like to see a finished example.

What Can Kids Do at the Quiet Table?

Every party has an early finisher and a kid who would rather color than craft. The bundle includes:

  • Winter word search for grades K-1, 2-3 and 4-5, with answer keys

  • Cozy penguin color by code with a finished color guide

  • Snow buddy dot to dot, 1 to 40

  • A Happy Winter coloring page

Teaching the little ones? The winter tracing worksheets for preschool are a sweet add-on. If your class celebrates Christmas, the Christmas coloring pages are free too.

A crayon cup for every 3 or 4 kids is plenty. Bring your own and don't ask the teacher for supplies.

What Can't a Printable Fix?

Somebody will offer to bring a chocolate fountain. Somebody else will sign up for "dessert" and bring 48 cupcakes with frosting the color of a snow day. Point at the plan the teacher approved, not at the person. Then look for the kids whose grown-ups couldn't come, open a few juice boxes and take the photo.

If you make it through a room full of paper plate snowmen, one tipped-over cocoa and 11 unclaimed mittens, you survived room parent. Hibernate accordingly.
