Class directory for a room parent

September 8, 2026 · 3 min read

Type cover that reads Class directory for a room parent.

A class directory is an opt-in contact list for one classroom. Ask the teacher before you collect a single phone number.

Some schools already have one. Some do not. A school page from Bethel Elementary tells room parents there is no school-wide directory and asks them to gather a class contact list, with a clear yes or no on sharing it. Your school may already do this through the office. Ask before you start a second list.

Ask before you collect

A school should not hand you the enrollment roster to publish as a parent directory. A July 2026 SchoolRelay guide puts it plainly: privacy rules on student records apply to the school, and a parent group is a separate group. The clean version is the one families opt into. They type their own information. They say whether other families may see it. They can ask to come off the list later.

Ask the teacher what this class is allowed to collect, and who the list is for. Sometimes it is only for you, so you can send party notes. Sometimes families are meant to have one another's numbers for carpools. Those are different lists. Do not assume. If the parent organization already publishes a school directory, your class does not need a private copy of the same names.

What to ask for

Keep it short. A parent name, the child's first name, one phone or one email, and a yes or no on sharing is enough. The same guide says longer forms get fewer replies, and it tells groups to leave out street addresses and birthdays. You do not need either for a class contact list. You also do not need a photo. A face is not a contact method.

Offer paper for a family that will not use a form. A blank slip that comes back to the teacher is enough. Do not require an app, and do not require a group chat. A family without a printer, or without a spare evening, can tell you one number in person and still count as opted in, if they said the others may have it.

Who gets the list

Share only the people who said yes, and only with the people the teacher named. A family who skips the form is not hiding. They may not want their number in twenty inboxes. Leave them off, and still include them in class notes the way the school already sends notes.

Do not paste the list into a group text. A number shared for a directory is not permission to add someone to a thread. If you need a pattern for the first note home, use the room mom letter after the teacher has read it.

One person holds the file. If a number changes in January, update that one file. A short "reply only if something changed" note in the new year is plenty. You do not print a booklet, and you do not chase the family who never replied. At the end of the year, delete the list or hand it to the teacher if they want it. It does not follow the class to the next grade unless those families opt in again.

You can paste this after the teacher checks the brackets. "I am putting together an optional class contact list for [teacher]'s class. Reply with your name and the phone or email you want other families to have, and say if it is okay to share. If you would rather not, do nothing. You will still get class notes the usual way."

That is the directory. One class, opt in, and nothing extra.
